Executive Personal AssistantWork week Monday FridayDuties will include:
- Perform duties and responsibilities as and when requested by executive
- Meet as needed with executive to ensure full understanding of current responsibilities, follow-up needs and outstanding issues
- Manage and maintain calendar for both business and personal appointments
- Maintain regular contact with business personnel to ensure executive is calendared and aware of all commitments
- Ensure executive meets all commitments being where needed at proper time and well prepared for meeting(s) and call(s)
- Provide up-to-the-minute support and respond to changes as needed, ensuring all related parties are contacted and updated
- Open and sort all incoming mail; coordinate flow of correspondence, organizing between business and personal, urgent and non-urgent needs
- Prepare, edit and proofread outgoing correspondence prior to presenting to executive for approval
- Maintain record of correspondence flow to ensure follow up and closure on all issues
- Correspond regularly, on behalf of executive, with insurance agent, property managers, bankers, and concierge services
- Make all travel plans for executive and family, for business and pleasure travel, ensuring door-to-door white glove service and amenities
- Manage expenses, logs and other matters with respect to private jet; regular contact and liaising with aviation manager
- Research and project management as needed
- Planning and coordinating business and personal events as needed
- Maintaining files and records
Key Skills Required
- Excellent managerial, time management, organization and coordination skills
- Good understanding of basic accounting to effectively manage and maintain records
- Strong prioritization skills as well as multi-tasking and working under pressure situations
- Ability to communicate effectively and efficiently in a professional manner
- Utmost discretion and confidentially a must
- Ability to manage executive, as needed, to ensure prompt arrival and preparedness for commitments
- Ability to source tickets and reservations for entertainment and business
- Proficient with Microsoft Office Suite Outlook, Word, Excel, PowerPoint
- Comfortable with information technology and able to trouble shoot and problem solve independently
- Ability to take initiative, organize, complete tasks and special projects with a minimum of supervision, and to manage several tasks at once
