Job Description: Dispatch Technician
JOB TITLE: Dispatch Technician
DEPARTMENT: Transportation
ACCOUNTABILITY: Reports to Transportation Manager
JOB SUMMARY:
Performs wide variety of duties to include verify driver paperwork, assist in assigning routes, data entry, route management, communicate any problems or changes to drivers, communicate any changes to customers, will calls, invoicing, and customer service.
DUTIES AND RESPONSIBILITIES:
q Help maintain DOT Files
q Assist drivers with all driver changes and adjustments to delivery stops
q Relay returns to appropriate departments
q Enter reships into system and turn out to warehouse
q Confer with purchasing, sales, shipping, warehouse, or driver to expedite or trace missing or delayed shipments
q Relay expected time of deliveries to customers when requested by account
q Inform accounts of delayed deliveries
q Verify driver paperwork
q Assign routes and manage routes according to the truck, time of day and orders placed
q Taking/entering orders
q Printing invoices
q Assisting with will calls
q Collecting C.O.D.’s from drivers upon completion of routes
q Answer incoming calls
q Customer service/Customer complaints
q Additional duties as assigned
q Ensure same day orders are handled to their completion
Job Requirements
SKILLS AND EDUCATIONAL REQUIREMENTS:
Ability to communicate effectively both verbally and in writing, and ability to prioritize and organize multiple tasks and projects. High School graduate, some college preferred, but not required. Available for an “On Call" status as assigned. Ability to read and interpret documents such as safety rules, operating and maintenance instructions, and procedure manuals. Ability to write routine reports and correspondence, ability to speak effectively and professionally to customers, and ability to speak before groups of customers or employees. Ability to calculate figures and amounts such as discounts, sales, weights, commissions, proportions, percentages, sell vs. cost, and volume. Ability to solve practical problems and deal with a variety of concrete variables in situations where only limited standardizations exists. Ability to interpret a variety of instructions furnished in written, oral, diagram, or schedule form. Knowledge of Microsoft Office.
INTER-RELATIONSHIPS:
Contact with all levels of personnel within the company(s) and with outside customers.
WORKING CONDITIONS:
Overtime required as assigned, on call status required, lifting 50 or more pounds, and working in close spaces.
NEEDED ATTRIBUTES:
Verbal ability, decision making ability, ability to organize and prioritize multiple tasks and projects, often changing assignments on short notice, time management, and ability to work a flexible schedule with varying start times.
