Event Coordinator Hilton Grand Vacations Club - Las Vegas at Las Vegas

Responsible for the facilitation of all definite groups prior to their arrival ensuring all details are in order and follow through is complete from the initial contact support to billing and payment for services.  Communicate relevant pre-arrival group information with resorts through resumes and pre-convention meetings.  Reconcile groups and commission payments after group departure.  Assist with client site inspections and become familiar with all aspects of our sales and marketing management operation. 

What will I be doing?

Coordinate all aspects of definite groups prior to arrival including introduction to client, file traces, understanding of group clauses, obtaining information pertinent to all departments, room block maintenance, and rooming list cut offs are met.


To ensure client are familiar with all services offered and answer any question that may arise with regard to the group.  To service group needs during their stay. Receive and track payment of group deposits and final invoice. Process commission and group closure after group departure.  Assist Event Manager with reporting. Process VIP guests and amenities.  Enter pick up into group booking system Delphi and run reports using system.  Assist Sales office with project management and account management duties as assigned.


 


Basic Qualifications


 


High school graduate or GED equivalent is required.  Minimum 3 years in hospitality industry preferably in group sales and service.  Must have understanding of hotel group booking systems, reservations systems, and Microsoft programs.


Excellent communication skills verbally and written with ability to multi-task and work independently with minimal supervision.  Must be guest and client satisfaction focused.


 


Preferred Qualifications


 


Understanding of group contract and servicing process.  Understanding of Delphi group booking system, VOICE or similar hotel reservations booking system.  Ability to create spreadsheets in Excel.
